This Privacy Policy explains how SWIFLY, a French simplified joint-stock company (société par actions simplifiée) registered with the Paris Trade and Companies Register under number 102 056 132, with its registered office at 24 rue de Clichy, 75009 Paris, France (“Swifly”, “we”, “us” or “our”), collects, uses, stores and protects personal data when you use our websites, applications, software, platforms, products and services, including the Swifly macOS and iOS applications and future versions of Swifly on other platforms (collectively, the “Services”).
Swifly develops voice dictation, speech-to-text and AI-powered productivity tools designed to help users write faster and more accurately across applications.

1. Our Privacy Commitments
Swifly is designed to process only the data needed to provide, secure and improve the Services.
Our core commitments are:
We do not sell your personal data for advertising, profiling or data brokerage purposes.
You control how your dictation data is used through the app’s Data Controls.
By default, audio recordings are processed only to generate a transcription and are deleted from Swifly’s systems immediately after processing.
If you explicitly opt in through the app’s Data Controls, selected dictation-related data, such as audio recordings, transcripts, corrections, personal dictionary entries or contextual content, may be used, shared or licensed to trusted technology partners strictly for the purpose of improving, training, testing or evaluating speech-to-text, language processing or AI models.
This never applies unless you have given your explicit consent, and you can withdraw that consent at any time.
Transcription history is enabled by default so that you can retrieve previous transcriptions. You can disable transcription history and delete your history at any time in the app.
If transcription history is disabled, Swifly does not store your dictated text after processing, except for limited temporary processing technically necessary to provide, secure or troubleshoot the Services.
Context Awareness can be enabled or disabled in the app’s Data Controls.
Business or Enterprise administrators cannot access employees’ dictated content, audio recordings, transcription history, personal dictionary or contextual content.
2. Scope of This Privacy Policy
This Privacy Policy applies to personal data processed when you:
- use the Swifly applications on macOS, iOS and future supported platforms;
- create or manage a Swifly account;
- use Swifly’s dictation, transcription, text formatting, correction, Context Awareness or dictionary features;
- visit our website;
- contact us for support, sales or partnership requests;
- subscribe to a paid plan;
- use Swifly as part of a Business or Enterprise account.
This Privacy Policy does not apply to third-party websites, applications, services or integrations that are not owned or controlled by Swifly, even if they are linked to or accessible from our Services. Where Swifly uses trusted service providers to operate the Services, their processing of personal data on our behalf is covered by this Privacy Policy and governed by appropriate contractual safeguards.

4. Information We Collect
We collect different categories of personal data depending on how you use the Services.
4.1 Account Information
When you create or use a Swifly account, we may collect:
- first name and last name;
- email address;
- Country;
- account settings and preferences;
- authentication information, including magic link login data;
- subscription status and plan information.
Swifly currently uses email-based authentication, including magic links.
We may offer Google Sign-In, Apple Sign-In or similar authentication options in the future. If you use those options, we may receive limited account information from the relevant provider, depending on your permissions and their privacy settings.
4.2 Audio Recordings
When you use Swifly’s dictation features, your audio may be sent to Swifly’s servers and/or to our speech-to-text service providers in order to generate a transcription.
By default, Swifly does not store your audio recordings after transcription. Audio recordings are processed only to generate the requested transcription and are deleted from Swifly’s systems immediately after processing, unless you explicitly choose to share audio to help improve Swifly.
You cannot retrieve audio recordings from your Swifly history because Swifly does not keep them by default.
Our speech-to-text providers may process audio transiently only to provide the transcription service, subject to their contractual obligations and applicable data protection requirements.
4.3 Transcriptions and Dictated Text
Swifly processes your dictated text in order to provide the Services, including transcription, correction, formatting and insertion into the selected application or text field.
Transcription history is enabled by default so that you can retrieve, review and reuse previous transcriptions.
Depending on the Data Control option you select, the text generated from your dictations may be stored in your account history, or may not be stored after processing.
If “Store my transcription history” is enabled, Swifly stores your transcription history in your account until you delete it, disable history, or delete your account.
If “Store my transcription history” is disabled, Swifly does not store your dictated text after processing, except for limited temporary processing technically necessary to generate and deliver the transcription, secure the Services, troubleshoot technical issues or comply with legal obligations.
If Swifly offers an optional product improvement setting, Swifly will use transcripts, edits or audio to improve Swifly’s features and AI models only if you explicitly enable that setting or otherwise give your consent.
You can update your choice at any time in the app’s Data Controls. You can also delete your transcription history from the app.
4.4 Contextual Data and Context Awareness
Swifly may use contextual information to improve transcription accuracy and formatting. Context Awareness is enabled by default and can be disabled in the app’s Data Controls.
Swifly does not capture screenshots or continuously monitor your screen. When Context Awareness is enabled, Swifly may process limited contextual information from the active app or input environment, such as:
- the name of the application in which you are dictating;
- the URL of the active browser page, where applicable;
- text already present in the active input field;
- relevant macOS or iOS accessibility data;
- proper nouns, names, terms or contextual words extracted to improve recognition accuracy.
This contextual data may be sent to Swifly’s servers or service providers only to improve the accuracy and relevance of the transcription output.
You can disable Context Awareness at any time in the app’s Data Controls.
4.5 Smart Dictionary and Custom Words
Swifly may store a personal dictionary associated with your account to improve future transcriptions. This may include:
- custom words;
- proper nouns;
- Names;
- company names;
- technical terms;
- words added manually by you;
- words added automatically after corrections you make.
You can view, edit and delete your personal dictionary in the app.
4.6 Usage, Device and Technical Data
We may collect technical and usage data related to your use of the Services, including:
- device type;
- operating system;
- app version;
- IP address;
- language settings;
- general location inferred from IP address, such as country or region;
- session information;
- performance metrics;
- crash reports;
- error logs;
- diagnostic information;
- feature usage events;
- total time using the Services;
- the application used for dictation.
We use this information to operate, secure, debug, maintain and improve the Services.
4.7 Payment and Subscription Information
If you purchase a paid subscription, payment information is processed by third-party payment providers such as Apple and Stripe.
Swifly does not directly store your credit card number, bank account details or full payment credentials.
We may receive limited billing information from payment providers, such as:
- subscription status;
- payment confirmation;
- billing email;
- invoice information;
- country or tax-related information;
- plan type and renewal status.
4.8 Support and Communications
When you contact us, we may collect information you provide, including:
- Name;
- email address;
- company name, if applicable;
- message content;
- attachments or screenshots you choose to send;
- support history;
- technical information needed to resolve your request.
We may use service providers such as Zendesk to manage support requests.
4.9 Website and Cookie Data
When you visit our website, we may collect limited data through cookies or similar technologies, including:
- strictly necessary cookies required to operate the website;
- consent preferences;
- basic technical information;
- analytics information, only where permitted and subject to applicable consent
- requirements.
Swifly does not currently use Google Analytics, advertising pixels or third-party advertising trackers such as Meta Pixel, LinkedIn Insight Tag or TikTok Pixel.
You can refuse non-essential cookies where required by applicable law.
5. How We Use Personal Data
We use personal data for the following purposes.
5.1 To Provide the Services
We process personal data to:
- create and manage your account;
- authenticate you, including through magic links;
- process audio to generate transcriptions;
- format, correct and insert dictated text;
- provide transcription history when enabled;
- provide Context Awareness when enabled;
- maintain your Smart Dictionary;
- provide customer support;
- process payments and subscriptions;
- manage Business and Enterprise accounts.
5.2 To Improve Swifly
We may use technical, usage, diagnostic, anonymized or aggregated data to improve the performance, reliability, usability and quality of the Services.
If you disable transcription history, we do not use your stored transcription history because it is not stored after processing.
If Swifly offers an optional product improvement setting, we will use audio, transcripts or edits to evaluate, train or improve Swifly’s features and AI models only if you explicitly enable that setting or otherwise give your consent.
Where possible, we use anonymized or pseudonymized data for product improvement purposes.
5.3 To Communicate With You
We may use your contact information to:
- send service-related messages;
- respond to support requests;
- notify you about important product, security or legal updates;
- send administrative emails;
- send marketing communications where permitted by law.
You can unsubscribe from marketing communications at any time. Service-related communications may still be sent where necessary for the operation or security of your account.
5.4 To Secure the Services
We process data to:
- monitor service performance;
- prevent abuse, fraud or unauthorized access;
- detect and fix bugs;
- investigate security incidents;
- enforce our legal terms;
- protect users, Swifly and third parties.
5.5 To Comply With Legal Obligations
We may process personal data where required to:
- comply with applicable laws and regulations;
- maintain accounting and tax records;
- respond to lawful requests from public authorities;
- establish, exercise or defend legal claims.
6. Legal Bases for Processing
Where the General Data Protection Regulation (“GDPR”) or similar laws apply, we rely on the following legal bases.
6.1 Performance of a Contract
We process data where necessary to provide the Services you requested, including account management, authentication, transcription, text processing, subscription management and support.
6.2 Legitimate Interests
We may process data based on our legitimate interests, including to:
- secure and maintain the Services;
- improve product performance;
- understand how the Services are used;
- prevent fraud or misuse;
- respond to support requests;
- manage Business and Enterprise accounts;
- develop and improve Swifly, provided your rights and freedoms do not override those interests.
6.3 Consent
We rely on your consent where required by law, including for:
- non-essential cookies;
- optional product improvement uses of audio, transcripts, edits or personal content;
- certain marketing communications;
- any other processing where consent is legally required.
6.4 Legal Obligation
We process data where necessary to comply with legal, tax, accounting, regulatory or judicial obligations.
7. AI Processing and Model Training
Swifly uses AI and speech-to-text technologies to provide the Services.
Your audio may be processed by Swifly and our speech-to-text providers only to generate transcriptions. Your text may be processed by Swifly and AI service providers to format, correct or improve the output requested by you.
By default, Swifly does not use your audio recordings for model training.
If Swifly offers an optional product improvement setting, Swifly will use audio, transcripts or edits to evaluate, train or improve Swifly’s features and AI models only if you explicitly enable that setting or otherwise give your consent.
Where Swifly uses third-party AI or speech-to-text providers, those providers process data on our behalf or according to our instructions, subject to contractual safeguards where applicable.
8. Data Controls and User Choices
Swifly provides Data Controls in the app so that you can choose how your dictation data is used.
The available controls include:
Store my transcription history: when enabled, Swifly stores your transcription history in your account so that you can retrieve, review and reuse previous transcriptions. This setting is enabled by default. You can disable it at any time and delete your transcription history from within the app.
Context Awareness: when enabled, Swifly uses limited contextual information from the active app or input environment to improve transcription accuracy and formatting. This setting is enabled by default. You can disable it at any time.
If Swifly offers an optional product improvement setting, Swifly will use audio, transcripts or edits to improve Swifly’s features and AI models only if you explicitly enable that setting or otherwise give your consent.
You can also:
- update your Data Controls at any time;
- delete your transcription history;
- view, edit and delete your Smart Dictionary;
- delete your account from within the application;
- contact us to exercise your privacy rights.
9. Business and Enterprise Accounts
Swifly may offer Business or Enterprise accounts for organizations.
If you use Swifly through an organization, such as your employer, the organization’s administrator may access limited administrative information, including:
- your account status;
- whether you are an active user;
- total usage time per user;
- subscription or license information;
- billing and invoice information.
- Business and Enterprise administrators cannot access:
- your audio recordings;
- your dictated text;
- your transcription history;
- your personal dictionary;
- your contextual content;
- the content of the fields in which you dictate.
Organizations are responsible for informing their users about any internal policies that may apply to the use of Swifly in a professional environment.
10. Cookies and Similar Technologies
Swifly may use cookies and similar technologies on its website.
Cookies may be used to:
- operate the website;
- remember your preferences;
- manage cookie consent;
- secure the website;
- measure website performance, where permitted.
Some cookies are strictly necessary and cannot be disabled because they are required for the website to function.
Non-essential cookies are used only where permitted by applicable law and, where required, after you have given consent.
You can manage or refuse non-essential cookies through the cookie banner or your browser settings.
Swifly does not currently use Google Analytics, advertising pixels or third-party behavioral advertising trackers.
11. Data Retention
We retain personal data only for as long as necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.
Our general retention practices are:
Audio recordings:
Deleted from Swifly’s systems immediately after transcription processing by default, unless you explicitly choose to share audio to help improve Swifly.
Temporary processing data:
Kept only for the time technically necessary to provide the Services.
Transcription history:
Stored until deleted by the user, until history is disabled, or until account deletion.
Smart Dictionary:
Stored until edited or deleted by the user, or until account deletion.
Account information:
Stored while the account remains active, then deleted or anonymized after account deletion unless retention is legally required.
Technical logs:
Usually retained for 30 to 90 days.
Security logs:
May be retained for up to 12 months where necessary for security purposes.
Crash and error reports:
Usually retained for up to 12 months.
Support requests:
Usually retained for up to 3 years after the last interaction.
Billing and accounting records:
Retained for the period required by applicable tax and accounting laws, generally up to 10 years in France.
Cookie consent records:
Retained for the period required or recommended under applicable law.
Anonymized or aggregated data:
May be retained for product analytics and improvement purposes, as it no longer identifies you.
When data is no longer needed, we delete it, anonymize it or otherwise take steps to prevent it from identifying you, unless legal obligations require continued retention.
12. Sharing of Personal Data
We do not sell your personal data.
We may share personal data with the following categories of recipients where necessary.
12.1 Service Providers
We use third-party service providers to operate, secure and improve the Services. These may include providers for:
- speech-to-text processing;
- AI processing;
- cloud infrastructure;
- database and authentication services;
- hosting;
- payment processing;
- customer support;
- crash reporting and error monitoring;
- security and performance monitoring.
- Our current service providers may include:
- ElevenLabs;
- Deepgram;
- OpenAI;
- Cloudflare;
- Supabase;
- Vercel;
- Sentry;
- Zendesk;
- Stripe;
- Apple.
These providers may process personal data only as needed to provide their services to Swifly and subject to contractual restrictions where applicable.
12.2 Payment Providers
If you subscribe to a paid plan, payment-related information is processed by Apple, Stripe or other payment providers.
Swifly does not directly store full payment card or banking information.
12.3 Business and Enterprise Customers
For Business and Enterprise accounts, we may share limited administrative and billing information with the organization that manages the account, as described in Section 9.
We do not share employees’ dictated content, transcription history, audio recordings, personal dictionary or contextual content with Business or Enterprise administrators.
12.4 Legal and Safety Reasons
We may disclose personal data where we believe it is necessary to:
- comply with applicable law;
- respond to lawful requests from courts, regulators or public authorities;
- protect the rights, safety or property of Swifly, our users or others;
- investigate fraud, abuse, security incidents or violations of our terms;
- establish, exercise or defend legal claims.
12.5 Business Transfers
If Swifly is involved in a merger, acquisition, financing, restructuring, sale of assets or similar transaction, personal data may be transferred as part of that transaction, subject to appropriate safeguards.
12.6 With Your Consent
We may share personal data with third parties where you have given us your consent or instructed us to do so.
13. International Data Transfers
Swifly is based in France, but some of our service providers may process personal data outside the European Economic Area, including in the United States or other countries that may not provide the same level of data protection as your jurisdiction.
Where required by applicable law, we use appropriate safeguards for international transfers, such as:
- adequacy decisions;
- Standard Contractual Clauses approved by the European Commission;
- data processing agreements;
- technical and organizational security measures;
- other lawful transfer mechanisms.
14. Security
We use technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse, alteration or disclosure.
These measures may include:
- encryption in transit using TLS;
- encryption of stored data at rest;
- access controls;
- authentication controls;
- internal restrictions on access to production systems;
- monitoring and logging;
- security reviews;
- error and crash monitoring;
- vendor security assessments where appropriate.
No method of transmission over the Internet or method of electronic storage is completely secure. While we work to protect your personal data, we cannot guarantee absolute security.
Swifly is working toward SOC 2 and ISO 27001 readiness.
15. Your Privacy Rights
Depending on your location, including if you are located in the European Economic Area, the United Kingdom or Switzerland, you may have rights under applicable data protection laws.
These rights may include the right to:
- access the personal data we hold about you;
- request correction of inaccurate or incomplete data;
- request deletion of your personal data;
- object to certain processing;
- request restriction of processing;
- request portability of your data;
- withdraw consent where processing is based on consent;
- lodge a complaint with a data protection authority.
You can exercise some of these rights directly in the app, including by deleting your history, managing your Smart Dictionary, disabling certain Data Controls or deleting your account.

16. Account Deletion
You can delete your Swifly account from within the application.
When you delete your account, we will delete or anonymize personal data associated with your account, including your transcription history and Smart Dictionary, unless we are required or permitted to retain certain data for legal, accounting, security or legitimate business purposes.
For example, we may retain billing records where required by tax or accounting laws, and limited logs where necessary for security, fraud prevention or legal compliance.
Deleting your Swifly account does not automatically cancel any active subscription managed through Apple. You can manage or cancel App Store subscriptions through your Apple ID subscription settings.
17. Children’s Privacy
Swifly is intended primarily for adults and professional users.
You must be at least 13 years old to use the Services. If applicable law in your country requires a higher minimum age or parental consent, you may only use Swifly if you meet those requirements.
We do not knowingly collect personal data from children under the applicable minimum age. If we become aware that we have collected personal data from a child in violation of applicable law, we will take steps to delete that data.

The Services may contain links to third-party websites, applications or services. We are not responsible for the privacy practices, content or security of third-party services.
Your use of third-party services is governed by their own privacy policies and terms.

When we make changes, we will update the “Last Updated” date at the top of this page.
If we make material changes that significantly affect your rights or how we process your personal data, we will take appropriate steps to notify you, such as by email or through the app.
